# How do you keep finance running when a key person is away or leaves?

![Finance continuity combines named ownership, usable handovers, agreed cover and a test of a recurring task.](https://www.axcelera.co.uk/hubfs/finance-continuity-key-person-risk.png)

Finance continuity starts with knowing which tasks must happen, who can complete them and what information they need. A practical plan combines named cover, current records, appropriate system access and enough time to do the work. Fractional finance support can help an existing team build and test that plan, with the responsibilities and availability agreed in advance.

For a growing business, the useful question is specific: if your finance lead could not work next week, which payments, reports or decisions would be delayed?

## Start with the work that cannot wait

List the recurring tasks that fall due over the next two weeks and the next month end. Include work completed by your internal team, your finance provider and external advisers. Give each task a main owner, a deputy, a deadline and an escalation contact.

The list should reflect your actual arrangements. Processing a payment, approving it and reviewing a bank reconciliation may belong to different people.

| Recurring task | What the person providing cover needs |
| --- | --- |
| Cash forecast update | The latest forecast, assumptions, expected receipts and the location of supporting information. |
| Supplier payment preparation | Due items, unresolved queries, the approval route and the agreed checks. |
| Payroll inputs | The timetable, input requirements, approval owner and payroll provider contact. |
| Month end | The close checklist, reconciliation locations and a log of outstanding issues. |
| Management or board reporting | The latest pack, metric definitions, reporting deadlines and decisions awaiting follow-up. |

This exercise often reveals a practical gap: a deputy is named, but the required information or time has not been allocated.

## Make each handover usable

For a recurring process, start with a short instruction that another competent person can follow. Record:

- When the task starts and when the output is due.
- The inputs required and who supplies them.
- The current working files and system locations.
- The checks and approvals required before completion.
- What to do when an input is missing or a figure does not reconcile.

Keep open issues in a shared working log with an owner and next action. A useful handover explains that a supplier balance is under investigation, who is resolving it and how the next payment should be handled.

Use named accounts and approved access arrangements. A handover should identify the access required and who can authorise it. Passwords belong in your approved security arrangements, rather than in the process notes.

## Agree what cover actually includes

A support agreement should identify the tasks covered, expected availability, notice requirements, authorisation limits and any additional fees. It should also explain how the person providing cover will stay familiar with the business.

For example, a Management Accountant who reviews the monthly reporting routine may be able to provide a defined part of the handover. Preparing a payment run could require different access, approvals and delivery time. Scope those activities individually.

Quarterly Finance Director involvement can help owners identify priorities and review the plan. Operational absence cover needs its own allocation of capability and time.

## Test the plan with the existing team

Choose one recurring output, such as the weekly cash update, and ask the agreed deputy to prepare it during a normal working period. Have the usual owner review the result. Note which inputs were difficult to find, which instructions were unclear and which decisions needed escalation.

Update the process immediately and repeat the exercise for the next priority. Involve your finance lead in choosing the sequence: their knowledge is essential to making the handover accurate and manageable.

## Choose support around the gap

A [Financial Controller](https://www.axcelera.co.uk/services/financial-controller) can help establish dependable recurring processes and checks. Management accounting or bookkeeping support may provide the delivery capacity needed to maintain them. Finance Director input can help agree responsibilities and connect the continuity plan to wider business priorities.

Axcelera can work alongside your existing staff through a defined review or an ongoing arrangement. The right combination depends on the tasks, their frequency and the work your team retains. Our [finance team design guide](https://www.axcelera.co.uk/axcelera-blog/finance-team-design-growth-complexity) explains how to match that capability to the work. For the reporting handover, use our [quarterly finance board pack guide](https://www.axcelera.co.uk/axcelera-blog/quarterly-finance-board-pack) to agree the information and follow-up required.

## Common questions

### Does improving continuity mean hiring another full-time person?

Start by identifying the actual capacity and skills gap. Better documentation, clearer ownership and a defined allocation of support may address it. A larger recurring workload may justify a permanent appointment.

### Can a fractional finance provider guarantee cover whenever we need it?

Availability and response arrangements need to be agreed explicitly. Discuss the tasks, access, lead time and capacity required before relying on a provider for absence cover.

### Where do annual accounts and tax fit?

Include the relevant adviser and handover requirements in the plan. Axcelera does not prepare annual accounts or provide tax advice; we can introduce specialist partners to discuss those services.
