# What should a quarterly finance board pack include?

![A quarterly finance board pack connects results, cash and the outlook to decisions, owners and checkpoints.](https://www.axcelera.co.uk/hubfs/quarterly-finance-board-pack.png)

A useful quarterly finance board pack connects what happened in the business with the decisions that come next. It should explain performance, cash, the outlook and material risks, then make clear where the board needs to decide or act. The right pack gives directors enough context to challenge assumptions and agree priorities.

## Start with the decisions the meeting needs to make

Before assembling the numbers, identify the questions for the meeting. Does the business need to change its spending plans, address a margin problem, adjust capacity or review its cash requirements? Put those questions near the front, with the recommendation, supporting evidence and consequences of delaying a decision.

Agree a reporting cut-off and circulate the pack with enough time for review. Label estimates and incomplete reconciliations clearly, so directors can judge how much confidence to place in each conclusion.

## A practical contents list

The following structure is a starting point. Choose the measures that explain your business model and keep their definitions consistent between meetings.

| Section | What to include | Question it should answer |
| --- | --- | --- |
| Decision summary | Important changes, recommendations and approvals requested | What needs our attention today? |
| Trading performance | Profit and loss against budget and the prior period, with relevant breakdowns by site, service or product | Where did performance differ, and why? |
| Cash and working capital | Cash movements, customer collections, supplier commitments and stock where relevant | What is tying up cash or changing our room to act? |
| Balance sheet | Important movements in assets, liabilities and borrowing, with material reconciliation issues explained | What changed in our financial position? |
| Forecast and assumptions | Updated outlook, changes to assumptions and material scenarios | What are we expecting, and what could change it? |
| Risks and finance processes | Material reporting uncertainties, process weaknesses and capacity or continuity concerns | Where do we need a response or clearer ownership? |
| Decisions and actions | Previous actions, decisions taken, named owners and deadlines | What will happen after the meeting? |

## Keep monthly reporting and quarterly review connected

Monthly management reporting helps the team track performance and respond during the quarter. A quarterly pack brings those results together, shows the monthly pattern and considers what they mean for the wider plan. A strong final month can otherwise conceal problems earlier in the period.

Some information needs a different cadence. Cash availability, overdue receipts or urgent spending decisions may need attention between monthly reviews. Agree that rhythm around the business's commitments and risks. Quarterly board meetings should sit within an established reporting process.

## Explain the movement and its implications

Commentary should connect a variance to its cause, consequence and proposed response. If sales are on plan but gross margin is below budget, investigate whether pricing, sales mix, purchasing costs or delivery overruns explain the difference. Separate confirmed causes from explanations still being tested.

A useful entry might say: “Margin is below plan. Finance and operations are checking the contribution of the largest contracts before recommending changes to pricing or delivery. The updated analysis will be ready for the next management review.” This gives the board a question to challenge and a point at which to expect an answer.

## Agree preparation and review responsibilities

An existing Financial Controller can coordinate the pack, maintain the reporting timetable and bring together the financial information. Operational managers should supply the explanations and assumptions they own. [Finance Director support alongside an existing Controller](https://www.axcelera.co.uk/axcelera-blog/finance-director-support-existing-financial-controller) can help test the outlook, develop recommendations and connect the discussion to commercial decisions.

Agree who prepares each section, who reviews it and who resolves missing inputs. Axcelera's [management accounts support](https://www.axcelera.co.uk/services/management-accounts) and [Finance Director support](https://www.axcelera.co.uk/services/fractional-finance-director) can be scoped around those responsibilities and the team already in place.

## Use an action log that survives the meeting

Record the decision, responsible person and next checkpoint while the discussion is fresh. This illustrative log shows the level of detail that makes follow-through easier.

| Action | Owner | Checkpoint | Evidence of completion |
| --- | --- | --- | --- |
| Explain the main margin variance | Financial Controller | Next management review | Analysis agreed with operations and a recommended response |
| Review planned spending against the revised outlook | Finance Director | Before commitments are made | Updated forecast and decision recorded |

## Frequently asked questions

### How long should a quarterly finance pack be?

Use the length needed to support the decisions. Keep the core narrative concise and put supporting schedules in an appendix. Review recurring sections that no longer help the discussion.

### Should we include every financial measure?

Select measures that explain performance, cash and the outlook. A new measure should have a clear purpose, an agreed definition and someone responsible for its accuracy.

### Can we build the pack from our annual accounts?

Annual accounts report on a completed financial year. Quarterly discussions also need recent management information and forward-looking forecasts, with enough detail to understand changes within the business.
