What does an outsourced finance function cost in the UK?

The short answer: there is no honest universal price. A credible budget depends on the outcomes required, the volume and cadence of work, the condition of the records and processes, business complexity and the mix of seniority needed. A quote is useful only when those assumptions are visible.

Five factors that shape the budget

Cost driver What to define Why it matters
Outcomes Dependable month end, cash visibility, board reporting, funding models or complete day-to-day coverage. Separates essential work from extras and identifies the right expertise.
Volume and cadence Transactions, entities, payroll, deadlines and meeting rhythm. Monthly strategic support differs from weekly cash management and daily processing.
Starting condition Bookkeeping quality, reconciliations, systems and historic reporting. Weak records may need a repair phase before steady-state delivery.
Complexity and risk Revenue models, projects, inventory, currencies, funding obligations and stakeholders. Complexity increases judgement and review even at modest transaction volumes.
Role mix Bookkeeping, Management Accounting, Financial Control, Finance Director and CFO capability. Senior specialists should focus on work requiring senior judgement.

Compare the complete service, not the headline fee

Ask providers to separate transition and clean-up, recurring delivery, systems, optional projects and out-of-scope work. Confirm who performs, reviews and leads the work; outputs and dates; responsibility for inputs; holiday cover; and how knowledge transfers if the service changes.

For a full-time hire, include salary, employer costs, recruitment, benefits, systems, equipment, development, management time and cover. For a fractional team, include onboarding, recurring fees, systems, agreed projects, travel and out-of-scope work. For a project, include implementation, training and ownership after delivery.

A practical way to build the brief

  1. Write down the decisions and recurring outputs that must improve.
  2. Separate one-off repair or implementation from steady-state delivery.
  3. Map each task to the appropriate expertise.
  4. Agree timing, review, meeting cadence, responsibilities and measures of success.
  5. Request assumptions, inclusions, exclusions, dependencies and a clear capacity-change process.

Better role fit changes the economics

Lightning Health asked for a fractional CFO, but its requirements pointed to a senior Financial Controller: more hands-on days at a lower rate. Decipher Marketing needed dependable day-to-day finance, organised data and clear guidance, so Axcelera strengthened the operating function. Read the client stories.

Warning signs in a proposal

  • A price without assumptions about volume, quality or complexity.
  • One senior person expected to process transactions, close books, build reports and lead strategy.
  • No distinction between initial repair and recurring delivery.
  • Activities without useful outputs, owners or dates.
  • No exclusions, continuity plan or handover approach.

Practical caveat: fractional support is not automatically the lowest-cost option. It is most useful when several levels of expertise or less than a full-time role are needed. Stable, substantial workloads may justify an internal hire.
